How to build a WhatsApp AI bot that answers your customers

There’s more than one way to build a WhatsApp bot, and each comes with different costs and risks. This guide compares them honestly, walks you through building a bot that answers from your own information, and answers the popular question: can I connect ChatGPT to WhatsApp?

Ways to build a WhatsApp bot, compared

Three main routes. All of them get you a bot that replies; the difference is effort and risk.

Official WhatsApp number or linked number?

An official number runs on Meta’s WhatsApp Business Platform through an approved provider such as Twilio, 360dialog or Interakt. It’s the safest option for businesses: a trusted number that handles high volume and stays within Meta’s terms. In exchange it needs registration and approvals, and some message types carry fees.

A linked number means connecting a regular WhatsApp number to a platform by scanning a QR code, the way you link WhatsApp Web. The benefit is that you keep the number customers know, and you can follow groups. But be clear about the trade-off: it’s an unofficial connection, and the WhatsApp Help Center says using unofficial apps can get an account temporarily or permanently banned. That’s why we recommend it for small volumes, and never for bulk messaging.

The simple rule: if your number is the heart of your business and receives a lot of messages, go official. If you want to try things quickly on your current number or follow groups, a linked number is practical as long as you understand the risk.

Steps to build a WhatsApp AI bot with Gental

These steps apply to almost any good platform. Here’s how they look in Gental:

  1. Sign up free

Create your account with no card. The setup conversation reads your website and drafts your business profile for you to review.

  2. Add your knowledge

Upload files (PDF, Word, Excel, CSV and more, up to 25 MB each) or add your website to read up to 500 pages, synced daily or weekly.

  3. Pick the bot’s persona

Start from a template (customer service, sales, reception and bookings, e-commerce and more), then set the dialect, tone, rules and when to hand over to a person.

  4. Test it before customers do

Ask it real questions in the playground, in different dialects, and run test runs that grade each reply and suggest what to fix.

  5. Connect WhatsApp

For an official number, enter your Twilio, Interakt or 360dialog account details. For a regular number, scan a QR code from WhatsApp. WhatsApp is included from the Starter plan.

  6. Prepare your team and publish

Choose who receives handed-over chats in the team inbox, then publish a frozen version of the agent. Afterwards, watch the knowledge gaps and add what’s missing.

Common WhatsApp bot mistakes to avoid

  • A bot that answers from general knowledge and invents prices or policies. Make it answer only from your knowledge and say “I don’t know” when it can’t find the answer.
  • No path to a person. WhatsApp’s Business Messaging Policy asks for a prompt, clear escalation path when you use automation, such as transfer to a human agent in the chat.
  • Messaging people who didn’t opt in. WhatsApp’s policy requires permission before you contact someone. Don’t bulk-message numbers you collected elsewhere.
  • Unofficial bulk-messaging tools. The fastest way to get a number banned; WhatsApp acts against automated and bulk messaging.
  • Testing only in formal Arabic. Customers write in dialect and send voice notes, so test the same way.
  • Stale knowledge. Changed your prices but not the file? The bot will quote the old ones. Keep website sync on and your files current.
  • Collecting sensitive data for no reason. Don’t ask for card or ID numbers in the chat unless you must and it’s protected.

Can you connect ChatGPT to WhatsApp?

The honest answer: ChatGPT itself used to be available as a WhatsApp number, but OpenAI announced it would no longer be available on WhatsApp after January 15, 2026, because of a WhatsApp policy change. Meta’s terms for the WhatsApp Business Platform prohibit AI providers from using it to offer general-purpose AI assistants when that is the primary service.

Using a language model (from OpenAI or anyone else) inside your own business’s customer service is a different case: the AI serves your business rather than being the product. You can build that yourself with the model’s API and the WhatsApp Business Platform, or use a platform that does it for you.

Even if you wire the model up yourself, the bigger problem remains: the model doesn’t know your prices, policies or hours. You need to ground it on your knowledge (RAG), stop it from guessing, set up handover to your team and watch reply quality. That’s the work platforms like Gental do without code.

Example: a WhatsApp bot answering from a store’s knowledge

Example

I want to return shoes I bought two weeks ago, is that ok?

Sure! Our return policy allows returns within 14 days of delivery as long as the item is in its original condition. Send me your order number and I’ll give you the return steps.

FAQ

Common questions

Can I connect ChatGPT to WhatsApp?

OpenAI’s official ChatGPT number is no longer available on WhatsApp after January 15, 2026. You can still use an AI model inside your business’s customer service, either by building it yourself or through a platform like Gental that grounds it on your knowledge.

Is a WhatsApp AI bot free?

With Gental you start free with no card and can try the agent on your website; WhatsApp is included from the Starter plan. On an official number, Meta charges for some messages, paid to your provider.

Can my number get banned?

With an official number and WhatsApp’s policies followed, the risk is low. With unofficial tools (a linked number included) the risk is real, especially with bulk messaging.

Do I need a new number for a WhatsApp bot?

Not necessarily. Connect the official number you already have with your provider, or link your regular number by QR. Some businesses prefer a new number for the official route to keep personal and business separate.

Does the bot understand voice notes?

A Gental agent transcribes voice notes, tuned for Gulf Arabic, and replies in text.
