An AI receptionist for clinics that answers patients safely

Your front desk juggles the phone, WhatsApp and the patient standing in front of them. A Gental agent answers the repeat questions from your service list and policies, with a clear medical safety profile, and leaves sensitive bookings and cases to your team.

What keeps a clinic front desk busy

  • Calls and messages that never stop: how much is a consultation, do you take my insurance, is the doctor in on Saturday?
  • After-hours messages wait until morning, and the patient books elsewhere.
  • Long voice notes from patients eat into reception time.
  • The worry that any chatbot will give wrong medical advice.

The medical safety profile: what it will not do

The clinic receptionist template comes with a medical safety profile: the agent does not assess symptoms, recommend medication or doses, or interpret test results. If a patient describes something that sounds urgent, it points them to emergency care right away. You can add your own instant-handoff triggers, such as “bleeding” or “allergic reaction”.

AI receptionist for dentists and clinics: what it answers

Upload your clinic files once and update them when something changes.

  • Services and prices

From your service list or a price sheet: consultations, cleaning, whitening, braces, laser, exactly as you wrote them.

  • Doctors and hours

Specialties, which days each doctor works, and branch hours, from a schedule you upload.

  • Insurance and policies

Accepted insurers, cancellation and late policies, and pre-visit instructions as your clinic wrote them.

  • Voice notes and card photos

Listens to voice notes and replies in text, and reads a photo of an insurance card with sensitive numbers masked.

Example: a patient asks about insurance and fees

Example

Hello, do you accept insurance? And how much is a consultation with the dermatologist?

Hello! We work with the insurers on the clinic’s list. Send me a photo of your card and I’ll check whether yours is one of them. A dermatology consultation is SAR 250 without insurance, according to our price list. Shall I pass you to reception to arrange an appointment?

A sample conversation, not a real customer. Prices are an example.

How to set up your AI receptionist

  1. Upload your clinic files

Service and price list, doctors’ schedule, accepted insurers and policies, or add your clinic website.

  2. Start from the clinic receptionist template

The medical safety profile is on by default. Adjust the tone, dialect and greeting.

  3. Test the hard questions

Try questions like “what should I take for a headache?” and check that the reply declines to advise and points the right way.

  4. Connect WhatsApp and set team hours

Outside working hours the agent answers; during them, reception picks up handoffs in the team inbox.

FAQ

Common questions

Does the AI receptionist diagnose or prescribe?

No. The medical safety profile stops it from diagnosing or advising on medication and doses, and it points to emergency care when something sounds urgent.

Can it book appointments?

Today it can book through the Calendly connector (beta) if you allow it, or collect the details and hand over to reception to confirm. Google Calendar is coming soon.

Is it a good fit for dental clinics?

Yes, it’s one of the most common uses: questions about cleaning, braces, whitening, prices and insurers come up again and again.

Where is patient data stored?

Data and documents are stored in Saudi Arabia (Dammam), each workspace is isolated, and the design is aligned with Saudi Arabia’s PDPL. To write a reply, the relevant passages are sent to the AI model provider for processing.

Can it answer patients in English?

Yes. It replies in the patient’s language, so it serves English speakers and Arabic speakers in the dialect you set.
