Several employees on one WhatsApp number: how your whole team replies without chaos
Your business has one WhatsApp number that customers know, and the messages have outgrown one person. This guide explains what happens when several people share a number in the regular app, the options you have, and how Gental’s shared inbox works with an AI agent that answers first and hands over to your team.

In short
Several employees can answer one WhatsApp number in three ways: linked devices in the WhatsApp Business app (up to four alongside the main phone, all seeing everything), an official WhatsApp API number with a shared team inbox, or a Gental Linked Number. In Gental each conversation has one assignee, and the AI agent answers first and hands over to whoever is available.
Why one number with several staff breaks in the regular app
The WhatsApp Business app is built for one business owner holding one phone. WhatsApp does let you link extra devices to the same account: according to the WhatsApp Help Center you can link up to four devices alongside your main phone (a browser, a computer, a tablet or another phone). Linked devices keep working while the main phone is off, but they are logged out if you don’t use the main phone for more than 14 days. The WhatsApp Blog itself pitched this as a way for employees to reply from their own phones on the same business account.
The problem isn’t linking. It’s organisation. Every linked device sees every chat, and there’s no such thing as “this chat is with Sara”. Two people answer the same customer at the same moment, or each assumes the other replied and nobody does. You can’t tell who said what, because every reply goes out under the business name. There are no internal notes, no assignment and no way to see how many chats are still waiting.
Once the team outgrows the device limit, the familiar workaround starts: logging in and out between staff, or one reception phone everyone takes turns on. Meta offers Meta Verified for Business packages in some countries and says they allow more linked devices; check its Help Center page to see whether it’s available to you. But even with more devices, a conversation still has no owner and no clear record of who replied.
Three ways to put several employees on one WhatsApp number
Each option has its place. For a deeper comparison of the app, the API and the Linked Number, read WhatsApp Business app vs API vs Linked Number.
| Linked devices in the app | Official number (API) with an inbox | Gental Linked Number | |
|---|---|---|---|
| How many staff | Up to four devices plus the main phone | The seats in your plan | The seats in your plan |
| Who owns a chat | Nobody; everyone sees everything | One assignee per conversation | One assignee per conversation |
| Assignment | Manual, by agreement | Auto-assigned to whoever is available | Auto-assigned to whoever is available |
| Internal notes | No | Yes, with @mentions | Yes, with @mentions |
| AI answers first | No (fixed texts only) | Yes, and hands over when needed | Yes, and stays quiet when you reply from your phone |
| Connection | Official, by WhatsApp | Official, through a Meta-approved provider | Unofficial (QR); Meta may restrict the number |
| Best for | A very small team with few messages | High volumes and business-critical numbers | A number you already use and want to start fast |
Linked-device limits per the WhatsApp Help Center, October 2026.
Option 1: linked devices in the WhatsApp Business app
This is the simplest option, and it’s free. On the main phone open Linked devices and scan the QR code shown on the other device (How to link a device in the Help Center). It suits you if you have two or three people, a modest number of messages, and you can agree among yourselves who answers whom.
Set a clear rule from day one: for example, each person signs their name at the end of a reply, or you use the app’s labels to mark what’s been answered. And remember that the main phone has to be opened regularly; if it’s lost or the app is removed from it, every linked device is logged out.
Option 2: an official number on the WhatsApp API with a shared inbox
The WhatsApp API (Meta’s WhatsApp Business Platform) has no phone app at all. Messages arrive in a system, the system shows them to your team in a shared inbox, and the number of staff depends on that system rather than on a device limit. You get it through a Meta-approved provider; in Gental you connect your official number from your own Twilio, Interakt or 360dialog account.
This is the right option for high volumes, because it’s official and stable. One thing to watch: Meta allows free-form replies within 24 hours of the customer’s last message (the customer service window); after that you need approved message templates. Message templates aren’t available in Gental yet, so the inbox tells your teammate before they type that the window has closed.
Option 3: a Linked Number with Gental’s inbox
If you have an everyday WhatsApp number your customers have known for years and you don’t want to change it, you can connect it to Gental as a Linked Number: scan a QR code from Linked devices, and Gental becomes a linked device on your number. Direct chats arrive in the inbox, the agent answers them, your team picks up the ones that need a person and replies from the inbox, and the reply goes out from your own number.
You can keep using your phone as normal. When you reply to a chat yourself from the phone, the agent stays quiet in that chat for a period you set, so you don’t talk over each other. But be clear about this: the connection is unofficial, WhatsApp doesn’t allow numbers to be run by automated software this way, and Meta may restrict or ban the number. That’s why we recommend an official number for high volumes.
How Gental’s shared inbox works today
The inbox brings official WhatsApp, Linked Number and website chats into one place. The full details are on the human handoff and team inbox page.
Teams own channels
Create teams (sales, support, bookings) and choose which numbers each one owns. A teammate sees only their teams’ channels; a supervisor sees everything.
One assignee per conversation
Conversations are auto-assigned to an available teammate, and only the assignee replies to the customer. No more two answers to one message.
Presence and capacity
Each teammate sets themselves online or away, and each has a cap on open conversations (5 by default; a supervisor can change it).
Internal notes and @mentions
Other teammates leave internal notes the customer never sees and @mention each other instead of all replying.
Summary and drafted replies
When the agent hands over, the teammate gets a summary of the chat, and AI drafts a reply they can edit before sending.
Quick replies, labels and search
Saved replies that appear when you type “/”, coloured labels, and Arabic-aware search that finds «أحمد» when you type «احمد».
Voice notes, images and files
Voice notes arrive as text with a button to play the recording, teammates see images and files, and they can send images and files from the inbox.
Notifications and auto-close
Browser notifications the moment a chat arrives or someone mentions you, and idle conversations close themselves after a number of days you set.
Who answers first? Choose a reply mode per number
Each channel has its own reply mode and working hours, so your sales number can be team-only while your support number starts with a WhatsApp AI agent.
| Reply mode | What happens |
|---|---|
| AI answers | The agent answers and hands over to your team when a person is needed, during working hours. |
| AI first, team on call | The agent starts and hands over at the first question it can’t answer. |
| Team only | Every conversation goes straight to your team with no AI, plus an away message outside hours. |
Customers can ask for a person themselves by sending «موظف», «بشري» or “human” on its own.
How to set up several employees on one WhatsApp number in Gental
Connect the number
On the Channels page, connect your official number from your Twilio, Interakt or 360dialog account, or link your everyday number as a Linked Number with a QR code.
Invite your team
Invite your staff to the workspace. Give people who only answer customers the Support role, an inbox-only role. Every member takes a seat in your plan.
Create teams and give them channels
Under Settings, then Teams, create a team per group and choose its members and the numbers it owns. A number with no team is visible to supervisors only.
Pick a reply mode and working hours
For each number choose AI answers, AI first with the team on call, or Team only. Then set working hours and the away message.
Prepare the agent to hand over
Turn on human handoff for the agent and set the questions it asks while the customer waits (name, order number), so the teammate arrives with the full picture.
Test before launch
Send a message from another phone, ask for a person, and check that the chat reached the right teammate and that their reply came back from the same number.
Common mistakes when several people share one number
We see these a lot, and each one is fixed by a simple rule:
- Everyone answers everything: one conversation has one assignee, and the rest leave internal notes.
- One phone passed around: the account gets lost between people and you can’t tell who replied. Give each teammate their own login.
- No clear working hours: a customer writes at 2 am and waits. Set working hours and an away message, or let the agent keep answering after hours.
- Handing over without context: the teammate asks the same questions again. Have the agent collect the name and request details before a person picks up.
- Forgetting voice notes: many customers in Saudi Arabia send voice notes instead of typing. Voice note understanding lets the agent and your team read them as text.
- Running a business-critical number on an unofficial link at high volume: a Linked Number is a great start, but if the number is your main revenue channel, an official number is safer.
- Conversations left open forever: the inbox fills up and you can’t tell what’s done. Close a conversation when it’s finished, or let auto-close do it.
Example: the agent hands over and a teammate continues in the same chat
My order 4821 arrived with something missing. I want to talk to someone.
Of course, I’m passing you to the orders team now. So you don’t have to repeat yourself: which item is missing? You can send a photo of the order if you like.

FAQ
Common questions
How many employees can use the same WhatsApp Business number?
In the WhatsApp Business app you can link up to four devices alongside the main phone, according to the WhatsApp Help Center. With a shared inbox like Gental, the number depends on the seats in your plan, and each teammate signs in with their own account.
Does the customer see which employee is replying?
Messages go out from your business number. When a teammate picks up a chat the agent handed over, the customer gets a short notice with the teammate’s first name, such as “Sara from our team has joined.” The teammate’s replies then come from the same business number.
What happens if two employees open the same conversation?
In Gental a conversation has one assignee, and only they reply to the customer. Colleagues can leave internal notes and @mention them, or a supervisor can reassign the chat.
Can I still reply from my phone after linking my number as a Linked Number?
Yes. Your phone works as normal, and when you reply to a chat yourself the agent stays quiet there for a period you set. Replies sent from the inbox go out from the same number.
Do my team’s replies count toward my plan?
No. Handoffs and your teammates’ replies don’t count as answered replies. What matters is seats: every workspace member takes one.
Can I reply to a customer more than 24 hours after their last message?
Not on an official number: Meta allows free-form replies within 24 hours only, and message templates aren’t available in Gental yet. The inbox warns your teammate before they type.
