WhatsApp Business app vs API vs Linked Number: which do you need?
Shop owners and companies ask us the same question every week. Stay on the WhatsApp Business app? Get an official number on the WhatsApp API? Or link the number you already use with a QR code and be done? This guide puts the three side by side and tells you plainly what each is good for, what it costs and what can go wrong.
Published
In short
The WhatsApp Business app is free and runs as one account on one main phone (plus up to four linked devices), which suits a small shop where the owner replies. The WhatsApp API is Meta’s official platform, reached through a provider and billed per message, built for companies, teams and volume. A Linked Number connects your regular number by QR with no Meta fees and can follow groups, but it is unofficial and Meta may restrict the number.
The three options in brief
The WhatsApp Business app is the free app you install from the store. It gives you a business profile, a catalog, a greeting message, an away message, quick replies and chat labels. It runs on your phone and you can open it on linked devices like WhatsApp Web, but it is still one account answered by one or two people.
The WhatsApp API, officially the WhatsApp Business Platform, has no app at all. The number is connected to software and messages reach a program that answers them: a shared team inbox, an AI agent, or your own system. Most businesses reach it through a Business Solution Provider (BSP) such as Twilio, Interakt or 360dialog. We cover it in depth on WhatsApp API in Saudi Arabia.
A Linked Number is a third route that Gental offers. You scan a QR code from Linked devices in the WhatsApp app on your phone, the same way you link WhatsApp Web, and the agent answers from your own number. There is no provider and no Meta account to set up, and it can follow WhatsApp groups. It is also an unofficial connection, and we are upfront about the risks below. Details are on the WhatsApp Linked Number page.
Comparison table: Business app vs WhatsApp API vs Linked Number
The table sums up the main differences. The Linked Number column describes Gental’s way of doing it; the API column describes a connection through a provider.
| WhatsApp Business app | WhatsApp API via a provider | Linked Number (QR) | |
|---|---|---|---|
| Official? | Yes, Meta’s app | Yes, Meta’s official platform | No, an unofficial connection |
| How you start | Install the app and register your number | A Meta business account and a provider sign-up | Scan a QR code from your phone |
| Meta fees | None | Per message, paid to your provider | None |
| Automation | Fixed greeting, away and quick replies | AI agents and full integrations | An AI agent answering from your knowledge |
| Several employees | Limited to linked devices | A shared inbox, no phone limit | A Gental inbox, number stays on your phone |
| Groups | Yes, by hand | Only its own invite-only groups (not in Gental) | Follows them and spots requests |
| Ban risk | If you break the policies | If you break the policies | Higher: the connection itself breaks the terms |
| Best for | A small shop where the owner replies | Companies, teams and high volumes | Shops, solo businesses, group communities |
Broadcasts and template messages are not available in Gental today on any of these routes; the agent answers the messages it receives.
The WhatsApp Business app: the free starting point
If you run a shop or offer a service and can answer your messages yourself, the app is more than enough. Put your hours and location in the business profile, turn on a greeting and an away message, and save quick replies for the questions you get every day, like prices and directions. We wrote out every step, with ready-to-copy messages, in the WhatsApp Business auto reply guide.
The trouble starts as you grow. Quick replies are fixed text that can’t understand what a customer means, and an away message says “we’ll reply tomorrow” without answering anything. Once you have staff, they all work from the same account on linked devices, with no chat assignment and no reporting. And everything hangs on one phone: if it is lost, broken or leaves with an employee, your customer service goes with it.
The WhatsApp API: the official number for companies
The WhatsApp API is built for companies that want an official number in their own name, answered by a whole team and their systems. The number does not depend on anyone’s phone. You can attach an AI agent that replies at once and a team inbox where a person takes over when needed. Meta reviews the display name your customers see, and verifying your business raises sending limits and trust.
In exchange there are fees and paperwork. Meta charges per message by category (marketing, utility, authentication and service) and by the customer’s country, and your provider bills you for it. If you want to start a conversation with a customer outside the 24-hour window, Meta’s policy requires an approved template message. For numbers and SAR figures, see WhatsApp API pricing in Saudi Arabia.
Gental is not a Business Solution Provider. Your number and account stay with your provider, in your name. Gental connects to that account and adds an agent that answers in Arabic or English from your files and website, and hands the chat to your team when it should.
A Linked Number: your everyday number, by QR code
A lot of business in Saudi Arabia runs on one number everybody knows: the shop owner’s, the real estate office’s, the gym coach’s. That number sits in neighbourhood, market and customer groups, and moving it to the WhatsApp API means losing those groups, because the official platform can’t join groups your number is already in. (Meta’s Groups API only lets an Official Business Account create its own invite-only groups, and Gental doesn’t use it.)
A Linked Number solves that. The agent answers private chats from your knowledge, reads the groups you pick, spots the requests you can serve and saves each one as a lead. When you write from your phone in a chat, the agent stays quiet there for as long as you set, so it never talks over you.
There are no Meta fees, because messages go out through the WhatsApp app itself; you pay only for your Gental plan. But the connection is unofficial, which brings us to the most important section of this guide.
Honestly: the ban risk of a Linked Number
A Linked Number uses an unofficial connection to the WhatsApp app, not Meta’s WhatsApp Business API. This kind of connection breaks WhatsApp’s terms of service, and Meta may restrict or ban the number at any time. The number is yours. Gental lowers the risk with human pacing, active hours and sending limits, but cannot remove it or guarantee the number’s safety. If you send a lot of messages or can’t afford to lose the number, use an official WhatsApp number through Twilio, Interakt or 360dialog.
Who needs which?
No option is best for everyone. Choose by your volume, your team and how much the number is worth to you.
Stay on the WhatsApp Business app if…
You get few messages and answer them yourself, you don’t need replies that understand the question, and a greeting, an away message and quick replies are enough.
Choose the WhatsApp API if…
You have a support team or several branches, you get a lot of messages, or you want an official number in your company’s name that survives staff changes, with an AI agent answering reliably.
Choose a Linked Number if…
Your business runs on one well-known number, customers find you in WhatsApp groups, and you understand the connection is unofficial and accept the risk.
Or combine them
You can run an official number for support and a separate linked number that follows groups and adds a link to your official number in its replies.
Costs: who pays whom?
The WhatsApp Business app is free, with no per-message fees. A Linked Number has no Meta fees either, because it sends through the app.
On the WhatsApp API, Meta has charged per message since July 2025, according to its official pricing page. Replies inside the customer service window (24 hours from the customer’s last message) are service messages: since 1 October 2026 the first 1,000 a month per number are free and the rest are charged, and utility messages inside the window are charged too. You pay these fees to your provider directly, and Gental adds no markup. The riyal figures are in WhatsApp API pricing in Saudi Arabia; check with your provider before you budget.
On top of that, your Gental plan counts answered replies only. Plans, and which channels each one includes, are on the pricing page.
Coexistence: one number on both the app and the API
You used to have to choose: a number lived either on the WhatsApp Business app or on the platform. Meta now offers Coexistence. According to Meta’s developer documentation, a WhatsApp Business app account can be connected to the platform through a provider, and the number stays registered on both at once.
Per the same document, the app must be version 2.24.17 or later, contacts and up to six months of chat history can be synced if you approve it, and messages you send from the app stay free while platform messages are charged at platform rates. There are limits: group chats are not synced, broadcast lists, disappearing messages and view-once messages are turned off, and throughput is fixed at 20 messages per second.
Coexistence depends on your provider, so ask them first whether they support it. Note that it does not replace a Linked Number if your goal is groups, because group chats don’t move to the platform. Meta’s Groups API only lets an Official Business Account create its own invite-only groups; it can’t join groups your number is already in, and Gental doesn’t use it.
What Gental does today on each route
No surprises. Here are the current limits, plainly:
- On the WhatsApp API and a Linked Number, the agent answers 1:1 chats from your files and website, reads the photos and files customers send, and conversations reach your inbox so your team can take over when needed.
- Template messages, campaigns and broadcasts are not available in Gental today. The agent replies when a customer writes.
- In Gental, following groups works only on a Linked Number. Meta’s Groups API only lets an Official Business Account create its own invite-only groups; it can’t join groups your number is already in, and Gental doesn’t use it.
- The WhatsApp Business app on its own is not an official Gental channel. Either move the number to the WhatsApp API through a provider, or link it by QR as a Linked Number and accept the risk.
- Building the agent itself works the same on every route; the steps are in the build a WhatsApp bot guide.
What Meta’s Business Messaging Policy says
The WhatsApp Business Messaging Policy applies to the Business app and the platform alike. The key points: only message people who have agreed to hear from you, honour every request to stop or block, and outside the 24-hour window send only approved template messages. If you automate replies, give customers a clear, quick way to reach a person or another support channel.
Meta says it may limit or remove your access to WhatsApp for Business if you break the policy. So even an official number has rules; the difference is that a Linked Number carries extra risk because the connection itself is unofficial. Gental’s handover to a teammate helps you meet the human-escalation rule, and the WhatsApp AI agent page shows how it fits together.
Four questions that settle it
How many messages do you get a day?
If few and you answer them yourself, the app is enough. If many, or they come at night, you need an agent that answers for you.
How many people answer customers?
If it is a team, the WhatsApp API with a shared inbox beats passing one phone around.
Do customers come from groups?
If yes, a Linked Number is the only route in Gental that follows groups.
How much can you afford to lose the number?
If the number is your business and you can’t risk it, go official. A Linked Number is for people who understand the risk and accept it.

FAQ
Common questions
What is the difference between the WhatsApp Business app and the WhatsApp API?
The WhatsApp Business app is free and runs as one account on one main phone (plus up to four linked devices), answered by one or two people. The WhatsApp API is Meta’s official platform with no app, reached through a provider, connecting the number to systems, an AI agent and a whole team, with per-message fees.
Can I use the same number on the app and the WhatsApp API?
According to Meta’s documentation, Coexistence allows it with providers that support it, with limits such as group chats not syncing to the platform. Ask your provider first.
Can a Linked Number get banned?
It can. The connection is unofficial and breaks WhatsApp’s terms, and Meta may restrict any number. Gental sends at a human pace and within limits, but we can’t guarantee the number’s safety.
Does the WhatsApp API support groups?
Only in a narrow way. Meta’s Groups API lets an Official Business Account create its own invite-only groups; it can’t join groups your number is already in, and even with Coexistence group chats are not synced. Gental doesn’t use the Groups API: in Gental, following groups works only on a Linked Number.
Can Gental send broadcasts or campaigns?
Not today. The agent answers customers when they write to you; template messages and campaigns are not available in Gental on any route.
Is Gental a WhatsApp API provider?
No. Gental connects to your account at Twilio, Interakt or 360dialog, which are the providers. Your number and Meta’s fees stay with you and your provider, and Gental adds no markup.
